The benefits of mobile work orders

Work orders are the backbone of your business: without them, nothing would get done. Yet many businesses still rely on Excel spreadsheets (or worse, paper forms) to manage their work orders.

With every new advance in technology, there’s a way to make your processes easier and faster. So why are you still doing things the old-fashioned way? In this blog post, we’ll give you just a few reasons why you should switch to mobile work orders (if you haven’t already).

Mobile Work Orders

First, what is a mobile work order?

A mobile work order is simply a work order that can be accessed and processed on a mobile device, instead of by hand (on paper) or on a desktop computer. Employees might access mobile work orders on a tablet, phone or laptop, depending on their preferences and working conditions.

All work orders share some basic characteristics:

  • A task or job usually done for a customer
  • Scheduled or assigned to an employee
  • Additional information attached to the order as needed

But the depth and breadth of the information in your work orders can depend on many factors, including:

  • Industry
  • Business processes
  • ERP setup
  • Industry regulations
  • Data collection methods and processes
  • Access to additional information, like manuals, customer history, etc.

If you need to send and receive a lot of information in your work orders, keeping track of everything on paper can be cumbersome (and easy to misplace). If you can only access work orders on a desktop computer, you might find yourself walking back and forth to the computer multiple times to complete a single order. Mobile work orders eliminate both these problems by putting the order—and all the required information about the order—at their fingertips exactly when they need it.

Why use mobile work orders

Mobile work orders have a lot of benefits over their paper counterparts:

Novacura Flow WOThey’re easier to fill in

When work orders can be accessed on a mobile device, the user doesn’t have to carry around a clipboard, or worry about having a pen on-hand. Mobile work orders also improve quality and efficiency when it comes to data entry: when the user can enter information right away—and they only have to enter it once—it reduces the chance of a data entry error and speeds up the data entry process.

They’re more accessible

Mobile work orders are accessible from anywhere, especially if you choose a system that works both online and offline. In an industry like field service, this means the technician doesn’t have to stop in at the office in the morning to get their assignments: they just need to download their assignments to a mobile device and start their day. When technicians can spend more time in the field and less time worrying about administrative tasks, everyone wins.

You get real-time updates

Another benefit of mobile work ordering is that order status can be updated in real-time. This is especially important for industries like manufacturing, where many people might be working on various parts of a project at the same time. Real-time notifications mean everyone working on the project is more informed, and better able to adapt to changes.

They improve efficiency

When you can store and access all the information about a work order in one place, it makes everyone more efficient. When the user doesn’t have to search for information, they can work faster and with more confidence. And when the work order data is entered faster (during the order instead of at the end of the day), your back office has a better picture of what’s happening. And when you use mobile device for work ordering, you can leverage the other technology already in the device—like scanners and cameras—to speed up the work order process even more.
